Senior Coordinator, Data Strategy & Planning

JOB TYPE: FULL TIME

The Senior Coordinator, Data Strategy & Planning plays a central role in executing campaign data strategy, maintaining reporting infrastructure, and delivering high-quality analytics deliverables for nonprofit fundraising clients. As a subject matter expert across campaign execution, audience segmentation, and monthly forecasting, this role ensures operational accuracy and data insight delivery across a portfolio of clients. This is an ideal position for someone ready to move beyond entry-level or general project tasks and take on greater ownership over data-driven campaign execution.

Key Responsibilities:

Campaign & Data Strategy

  • Ownership of list and audience strategy within your portfolio of clients, working with strategy team members, client contacts, list planners and respective third-party vendors to support campaign strategies.

  • Stay up to date on latest audience optimization, model, and data utility offerings across the industry, and make recommendations for testing.

  • Prepare and maintain campaign mail plans, segmentation instructions, and related documentation.

  • Review and approve data vendor counts, coordinate mail plan approvals, and finalize select instructions.

  • Maintain and update Source Code Documents

  • Ensure matchbacks, NCOA, and final data files are delivered to appropriate parties (production, clients, vendors).

  • Track key campaign tasks in Asana and communicate readiness for next steps.

Reporting Infrastructure & Maintenance

  • Maintain campaign performance reporting systems to ensure timely and accurate data is available across teams.

  • Provide QA support and documentation for campaign performance outputs

  • Flag data anomalies or emerging trends for the Strategy Team.

Budgeting & Forecasting

  • Own monthly updates to Budget vs Actuals (BvAs), forecasting incomplete campaigns using response curves and updated costs.

  • Deliver BvA commentary and summary insights to the Strategy Team for further client-facing presentation.

  • Assist with initial draft of annual budgets, incorporating findings from past performance and segmentation.

File Health Analysis

  • Conduct annual (or scheduled) File Health reviews using Power BI dashboards and Fuse standard pivot templates.

  • Prepare and present “Lay of the Land” decks with key initial trends.

  • Incorporate Strategy feedback into a formal Draft and co-lead the client presentation as requested.

  • Track client questions and action items for follow-up.

Ad Hoc Projects

  • Support and execute ad hoc analytics requests logged via Asana, in coordination with Strategy

  • Track billable hours when applicable and manage competing deadlines.

  • Deliver polished outputs with clear documentation, QA, and client-ready formatting.

Quality Assurance, Collaboration & Documentation

  • Adhere to internal QA standards, including formula checks, source code validation, formatting, and peer reviews.

  • Ensure all files are saved using proper naming conventions and folder structures.

  • Keep campaign progress and assignments up-to-date in Asana and Weekly Status Trackers.

  • Proactively flag risks, delays, or blockers to the Strategy Team or senior leadership.

  • Support training and mentorship of Coordinators, where applicable.

Experience:

  • 3–5 years of experience in nonprofit fundraising, data analytics, campaign operations, or direct marketing.

  • Experience executing data-driven campaign processes and reporting deliverables.

  • Familiarity with source code structures, segmentation, and forecasting in the nonprofit space.

Education:

  • Bachelor’s degree in mathematics, marketing, economics, or a related field (or equivalent work experience).

Skills and Competencies:

  • Strong Excel skills (PivotTables, XLOOKUP, SUMIFS, LEFT/ MID/ RIGHT, nested IFs, Conditional Formatting, etc.).

  • Proficiency with PowerPoint and basic data visualization principles.

  • Familiarity with Power BI or similar tools for data exploration and reporting.

  • Excellent attention to detail, organizational skills, and process ownership.

  • Strong written and verbal communication.

  • Working knowledge of project management platforms (Asana preferred).

  • Comfort managing multiple deadlines and projects simultaneously.

  • Collaborative, team-first mindset with the ability to work independently.

Key Deliverables:

  • Audience, List & Data Strategy ownership for all client projects and deliverables

  • Completed monthly Budget vs Actuals (BvAs) with performance projections and summary commentary.

  • Campaign data instructions and final approval of segmentation/vendor counts.

  • Updated Source Code Documentation for every campaign.

  • QA-checked campaign reporting files and documented internal uploads.

  • Ad hoc reports and analyses in response to internal/client requests.

  • Support on File Health Analysis Decks & QBRs

  • Timely task tracking and communication in Asana and weekly status trackers.
